General terms

These Terms govern access to and use of Solenya services provided via znovas.pro. They describe the rights and responsibilities of users and Solenya for notary-related services in Singapore. Practical cases are used throughout to illustrate obligations, such as appointment scheduling, document verification, and identity checks required for notarization.

Eligibility to use services

Users must be legally permitted to receive notary services and provide accurate identity information. Entities and individuals acting on behalf of others must have appropriate authority and documentation. Example: a corporate representative must present a valid board resolution or power of attorney.

Minors or persons without legal capacity must be represented by a parent, guardian, or duly authorised agent with supporting documentation at the time of service.

Services must be used for lawful purposes only. Prohibited uses include document falsification, fraud, or facilitating unlawful activity. If Solenya identifies suspicious use, we may suspend services and report to authorities as required by law.

Availability of services may vary by jurisdiction. Some notarization services, apostilles, or legalizations may require additional local actions beyond Solenya’s scope. Check local requirements when arranging cross-border notarization or document legalization.

Account and access

Accounts used to book or manage notary services must contain accurate information. You are responsible for activity occurring through your account and for maintaining access credentials securely.

Keep contact details and identity information up to date. Example: update your address if you change residence to ensure communications and document returns are sent to the correct location.

Protect your account credentials. Notify Solenya promptly if you suspect unauthorized access. We will take reasonable steps to secure accounts but cannot accept liability for breaches resulting from user negligence.

Accounts and associated benefits are personal and non-transferable unless explicitly agreed in writing by Solenya.

If you believe your account has been compromised, immediately notify support at [email protected] and follow any instructions provided to resecure your account.

Solenya may suspend accounts for suspected misuse, security risks, or legal compliance reasons. Suspension may affect access to pending documents and scheduled appointments.

Service description

Solenya provides professional notary services including document witnessing, certification of copies, and guidance on authentication steps for international use. Services may involve in-person appointments at our Singapore address or remote identity verification where permitted.

Solenya may modify service offerings, procedures, or fees. When changes affect booked services, we will provide notice and reasonable options such as rescheduling or alternative arrangements where feasible.

Service availability is subject to local regulations, staff schedules, and appointment capacity. Example: peak periods near contract deadlines may have limited appointment slots; early booking is recommended.

User rules and conduct

Users must comply with applicable laws and these rules when using Solenya. The following list gives practical prohibitions and expectations.

  • Do not present false or forged identity documents. Example: presenting altered identification will lead to immediate service refusal.
  • Do not attempt to notarize documents on behalf of another without proper authorization and supporting documents.
  • Do not use the service to facilitate illegal activities, fraud, or misrepresentation.
  • Be truthful in communications with Solenya staff and provide requested documents to verify identity and authority.
  • Respect appointment times and cancellation policies; repeated no-shows may result in refusal of future bookings.
  • Follow Solenya’s instructions during in-person and remote verification processes, including presence for live signing where required.
  • Do not attempt to circumvent fees or payment requirements associated with paid services.

User content and submissions

When you submit documents, messages, or other content to Solenya, you represent that you have the right to provide that content and that it does not infringe third-party rights.

You retain ownership of documents you supply. Solenya may keep copies as necessary for record-keeping and legal compliance related to the notary service provided.

By submitting content, you grant Solenya a limited, non-exclusive licence to use, store, and reproduce the materials as necessary to provide services, comply with legal obligations, and maintain records.

You are responsible for the accuracy and legality of submitted content. Example: if a document contains incorrect dates or names, you must notify Solenya before notarization to avoid invalidation of the notarized document.

Requests to remove user-submitted content will be considered in line with legal retention obligations. Certain records may be retained to meet regulatory or archival requirements.

Intellectual property

All intellectual property on znovas.pro, including activity, site content, and tools, belongs to Solenya or its licensors. Use of our IP is limited to personal, non-commercial purposes unless authorised in writing.

  • Do not reproduce or redistribute site content for commercial use without prior written permission.
  • Do not remove or alter proprietary notices or attributions from materials provided by Solenya.
  • Do not use Solenya branding in a way that implies endorsement without written consent.

Paid services and fees

Some Solenya services require payment of fees. Fees, invoicing and payment methods are described at the time of booking and in the invoice provided.

Pricing is provided in Singapore dollars and displayed prior to booking. Example: notary fees for document certification and attendance fees for in-person visits are itemised on confirmation documents.

Payments may be accepted via the methods listed at checkout. Full payment may be required to confirm an appointment. Receipts and tax invoices will be issued as required.

If subscription services are offered, terms will specify billing intervals, renewal processes, and cancellation rights. Users will receive notice prior to recurring charges.

Refunds are handled case-by-case. Refund eligibility depends on the nature of the service, whether the service was delivered, and any non-refundable costs incurred. Example: fees for time already spent verifying a document may be non-refundable.

Cancellation policies apply to scheduled appointments. Cancellations made within specified windows may be eligible for full or partial refunds; late cancellations or no-shows may incur charges.

Applicable taxes will be applied to fees where required by law. Solenya will include tax details on invoices when relevant.

Solenya may update fees; changes will not affect confirmed bookings unless expressly stated at booking or required by law.

Non-payment may result in suspension of services, refusal of future bookings, and collection actions where permitted by law.

Limitation of liability

Termination and suspension

Solenya may suspend or terminate access for breach of these Terms, unlawful use, or regulatory requirements. Termination may affect pending documents and scheduled appointments.

Upon termination, rights to access the account and related materials will cease. Solenya may retain records as required by law and provide notice of document retention or return procedures.

Privacy and data protection

Communications

By using Solenya, you consent to receive service-related communications, appointment confirmations, and important notices via email, SMS, or telephone. Promotional communications will be sent only with consent or as permitted by law.

Changes to terms

Solenya may update these Terms. Material changes will be communicated via the site or direct notice. Continued use after changes constitutes acceptance of the updated Terms.

Governing law

These Terms are governed by the laws of Singapore. Users agree that Singapore courts will have jurisdiction over disputes, except where mandatory jurisdictional rules provide otherwise.

Dispute resolution

In the event of a dispute, parties should first attempt to resolve the matter informally by contacting Solenya. If unresolved, disputes may proceed to mediation or litigation under Singapore law. Example: billing disputes should include the invoice number and supporting evidence when raised.
